Bury St Edmunds Concert Club maintains a database of members in order efficiently to manage the collection of membership fees, and to be able to circulate information to members on the Clubs activities. As such, this database falls within the provisions of the General Data Protection Regulations.
The database is housed on a computer held by the Membership Secretary in an encrypted format, detailing names, addresses, annual fees paid and any supplementary contributions. When the new concert year membership has been finalized, the historic data are deleted. The financial data are used by the Treasurer in preparation of the annual accounts.
A list of members’ names is also held in paper form for use at the entrance door of the concert hall, to distinguish between members attending, and casual entrants paying at the door. This paper record is destroyed annually.
Members’ details on the database are not shared with any other organization.
If a member no longer wishes to be included in the membership database, then that wish should be communicated to the Membership Secretary by letter or by email.
